Stokvel spreadsheet template
Download our free stokvel spreadsheet to track each member’s monthly contribution, late fines and payout month. It opens in Excel and Google Sheets. List members in rows and months in columns, mark each payment with the amount and date, and total each column against the bank statement.

How to use the spreadsheet
- Replace the sample names with your members, one per row.
- Fill in each member’s payout month in the Payout month column.
- Each month, enter the amount received under that month as soon as the proof of payment arrives.
- Add late fines in the Fines column.
- Total each month’s column and check it against the stokvel bank statement.
- Share the sheet (view-only) with members after every update.
Where spreadsheets go wrong
- Only the treasurer can edit it, so members have to take their word for it.
- Proof of payment lives in WhatsApp, not next to the entry it proves.
- Someone edits the wrong cell and nobody can see what changed.
- Copies multiply: the version on the treasurer’s laptop is not the one in the group chat.

Is there a free stokvel template for Excel?
Yes. Download the CSV on this page and open it in Excel or Google Sheets. It has columns for each member, every month of the cycle, the payout month and fines.
How do I calculate a stokvel payout?
In a rotational stokvel, the payout is the monthly contribution multiplied by the number of members, less anything the group keeps back for fees. Ten members at R500 each gives a R5 000 payout every month.
Should our stokvel use an app instead of a spreadsheet?
A spreadsheet is fine for a small group with one trusted treasurer. Once members start asking for proof, or the group grows past a handful of people, an app where every member sees the same record saves arguments.
